The starting point
The existing spreadsheet was not simply a list. It acted as the company's operational control system. The challenge was to preserve that knowledge while removing the fragility of repeated data and manual coordination.
One row compressed customers, sites, jobs, quotations, approvals, contractors, invoices and payment events into a single record.
Urgent work sometimes had to proceed before the normal quotation and purchase-order sequence was complete.
Completion evidence and certificates were difficult to chase after contractors had finished the work.
Clients needed secure self-service access to the correct property records and historic documents.
Commercial administration involved re-keying information into separate systems, creating avoidable error and delay.
